Use digital faxing

Fax.Plus is our digital cloud fax solution. In order to send or receive a fax, you must have a Fax.Plus account. UIndyIT has worked with individuals and departments across campus to establish these accounts. This Tech Guide is for these individuals.

  1. Navigate to https://app.fax.plus/login.
  2. Enter your UIndy email address in the Email field.
  3. Click the Sign In button.

If you are not already logged into another UIndy system, you may need to enter your UIndy credentials and authenticate with Duo.

If this is your first time signing in, a Privacy Policy and Terms of Service message may appear.

  1. Click the Continue button.

This is the home page for Fax.Plus. Here is where you can send and view received digital faxes.

Add contacts as you send your faxes. Blacklist is a way to identify and avoid spam.

Under Notifications you can add additional emails (including UIndy service accounts) to be included about fax notifications. The email notification will include a link to sign into Fax.Plus portal, no preview of fax will be available.

  1. Click the Profile button.
  2. Click the Edit button.

  2. Click the Confirm button.

All faxes will be sent and received through the Fax.Plus portal for HIPAA compliance.

  • You will not receive faxes via email.
  • The fax will not be attached to the fax email notification received when a fax is delivered to the portal.
  • You cannot email faxes from the portal; See Organize your Fax.Plus inbox to avoid deletion.
  • There is a 30 day retention for all sent and received faxes within Fax.Plus. 
  1. Click on Faxes button.
  2. In your Inbox are current faxes.
  3. Any faxes with a blue dot are new or unread faxes.

We recommend keeping faxes digital and sharing through Google Shared Drives.  Avoid producing hard copies, if possible. 

For HIPPA compliance, 30 days after a fax is received it will auto-delete.

  1. Download the fax to the Downloads folder on your computer, by clicking on the three vertical dots next to the fax file.

  1. Through Google Drive for Desktop, upload fax file to a Google Shared Drive.

  1. Delete the file from your Fax.Plus inbox, by clicking on Move to trash.

  1. Delete the file from your computer Downloads by clicking the trashcan icon.

  1. Click the Send Fax button.
  2. In the To: field enter desired fax number.

Faxing is international; be sure to include the country code before the area code. Adding (+1) at the beginning generates a fax within the USA. Faxing to China may not function as expected due to regulations.

  1. Click the down arrow next to Add File.
  2. Select file location from drop-down menu.

  1. To add a cover sheet, click the down arrow next to Add File.
  2. Select Cover Sheet Generator from drop-down menu.

  1. Enter the information in the corresponding fields (To, Subject, Fax type, and Message).
  2. Click Confirm button.

  1. If you would like to schedule to have a fax send at a later time, click on Settings (gear icon).

  1. Check the box next to Scheduled Transmission.

  1. Select the desired date and time.
  2. Click Save button.
