Secure Print on Multi-Function Printers (MFPs)

Multi-Function Printers (MFPs) have a function called Secure Print that allows you to set a passcode at your computer that can be entered into the MFP to print your job out. This allows you to print sensitive documents without worry that they will sit on the printer for everyone to see.

This process may change depending on the app you use. These examples were done in Microsoft Word.

Windows
  1. When selecting for a document to print, click on Printer Properties.
  1. From the Properties window, at the Output Method drop-down menu select Secured Print.
  1. An information window will appear asking if you want to set the User Information. Click the Yes button.
  1. A secured print details window will appear. Keep the UIndy username in the User Name field to make it easy to identify the job on the printer. Create a PIN you would like to use to release the print document at the printer. The PIN can be anything you wish.
  2. Enter your PIN.
  3. Click the OK button.

The PIN can be WHATEVER YOU WANT. It is not predetermined anywhere, and you can change it each time you print a new document.

  1. In the Printer Properties window, click the OK button.
  1. Click the Print button.
  1. Follow the steps below to release a secure print from the MFP.
MacOS
  1. When selecting for a document to print; select your printer.
  2. Under the Copies & Pages drop-down menu select Special Features
  1. At the top of this window, open the drop-down menu next to Job Processing and select Secured Print.
  2. Click the Print button at the bottom of the window.

A new window will appear asking for Document Name, User Name, and PIN. Keep the UIndy username in the User Name field to make it easy to identify the job on the printer. The document name can be anything you wish.

  1. Create and enter the PIN.

The PIN can be WHATEVER YOU WANT. It is not predetermined anywhere, and you can change it each time you print a new document.

  1. Click the OK button. The print job will go to the printer.
  1. Follow the steps below to release a secure print from the MFP.

Release a secure print from the MFP

  1. Go to the MFP. After you log into the printer, tap Secure Print on the MFP screen.
  1. Tap the job you want to print. It will turn yellow when selected.
  2. Tap the Secure Print button.
  1. Enter your PIN .
  2. Tap the OK button.
  1. After your secure print job is complete. Tap the Log Out button.
