Get printer support for UIndy-owned departmental MFPs and printers
There are two makes of University-owned printers used across campus - Canon and HP. This Tech Guide will discuss the level of support for the printer, depending on the make.
Canon
All UIndy Canon devices are Multi-Function Printers (MFPs). These are printers that can print, copy, scan, or email documents.
Schedule an appointment with the IT Help Desk to have an MFP installed on your UIndy-owned computer remotely. You will need your six-digit department code so prints can be charged to your department.
Installing a printer on a personal computer requires written authorization by a department head due to budgetary impact.
Any issues with the MFPs (jamming, error codes, etc.) should be submitted to the IT Help Desk via ticket so service requests can be submitted to the vendor. Canon MFPs are serviced by our vendor, Gordon Flesch. Make sure to include the MFP’s asset ID. This can be found at the front of the machine, and will begin with “EA.”
Departments are responsible for ordering paper for their Canon printers. Toner, waste toner, and maintenance kits, are covered under our maintenance contract with Gordon Flesch. These supplies can be ordered directly from Gordon Flesch via the contact number for supplies located on the front of the MFP.
Do NOT make an attempt to remove the waste toner yourself!
Hewlett-Packard (HP)
Hewlett-Packard printers are smaller desktop printers. These do not have the ability to scan, copy, email, or fax.
Schedule an appointment with the IT Help Desk to have a wired HP printer installed on your UIndy-owned computer remotely. You will need your six-digit department code so prints can be charged to your department.

The HP Printers are serviced by Cannon IV. Like Canon MFPs, printing issues can be directed to the IT Help Desk. Include the device’s asset ID; this can be identified on a white barcode at the front of the device. This will be either a six digit number, or begin with “A.”
Departments are responsible for ordering paper for their HP machines. Toner for HP printers connected to computers via USB cable must be purchased by the department. Toner for HP printers connected to the UIndy network is provided by the Auto Toner Replenishment (ATR) program (see section below for more information).
HP printers that are connected to the campus network are on the Auto Toner Replenishment (ATR) program. Toner usage is monitored by our printer vendor, Cannon IV, and will automatically be shipped to the department or printer location once the toner drops below 20%. (Please note: This does NOT apply to the large Canon Multi-Function Printers.)
When a department purchases a new printer, there will be a one-time permanent budget transfer to the IT printer budget of $150 for color printers and $75 for black/white printers to cover the cost of adding the printer to the maintenance/ATR program.
There are HP printers that are MFP, but almost all of the HPs deployed across campus only support printing.
All used toners, regardless of type, can be placed in the marked bin outside of Schwitzer Student Center 050 (the north-end IT door) for recycling.
